TERMS AND CONDITIONS OF USE

  • General

    A non-refundable, non-transferable deposit of 20% is required at time of booking to secure the reservation (subject to review in extenuating circumstances). Failure to do could mean the booking is cancelled.

    The final payment (remaining balance) must be made within 5 days of the completion of the booking period.  Arrangements for delayed payment may be in advance with the Centre Manager; in such cases, the final payment must be made by the date agreed. Receipts can be issued upon request.

    Booking payments can be made to the Centre Bank Account in Czech Koruna/Czech Crown (Kč / CZK) or in Euros (due to international currency transfer costs an additional fee is applicable when paying in Euros).

  • Cancellations

    Cancellations must be made in writing (email) to Gilwell Scout Centre info@gilwell.cz .

    The Gilwell Scout Centre reserves the right to cancel, alter, or delay any hire, course, accommodation or activity where forced to do so by circumstances beyond our control or any circumstances which would subject The Gilwell Scout Centre or any of its personnel to danger.  In these circumstances a full refund will be offered.

    Scout overnight stays cancellations –

    In the event of a booking being cancelled and that booking cannot be re-let the following charges, in addition to the loss of deposit, apply (subject to review in extenuating circumstances):

    • 20 working days notice or less a charge of 20% of the remaining balance.
    • At 10 working days notice or less a charge of 50% of the remaining balance.
    • At 5 working days or less or in the event of a non-arrival, the full price of the facilities will be charged.
  • Cleaning and Damage

    It is the responsibility of the centre users to ensure that all areas used by their group are left in a clean and tidy condition at the end of a booking.  We reserve the right to charge groups who damage equipment or buildings, or who fail to leave the hired facilities in a reasonable condition.  Groups will be charged a 2000 kc cleaning fee if the building is left in an unsatisfactory condition. Charges for damage will reflect the costs for replacement or repair as necessary.

    Loss of keys or chip will incur a 1000kc cost for replacements.

  • Complaints

    If you have any complaint during your booking, please notify the Centre Staff. We will do our utmost to find a speedy and satisfactory solution. If you are not satisfied with the solution please complain in writing to the Centre Manager within 14 days of the end of your booking.

  • Additional information and rules

    All information given in any literature produced by or on behalf of The Gilwell Scout Centre is correct at the time of going to print. It is given in good faith and intended as a guide to accommodation and facilities available and may be altered without notice to suit safety or other conditions. 

    For the comfort, health and safety of all concerned, smoking is forbidden in the centre.

    Any and all photographs, videos, or other recorded media may be used by The Gilwell Scout Centre for marketing or advertising purposes without any payment or compensation being offered.

    The Gilwell Scout Centre is covered by all necessary insurances.

    Additional rules for Scouts staying overnight –

    • No smoking or drinking of alcohol in the Gilwell Centre or in the courtyard area.
    • Do not stand around in the courtyard area. This centre is based in a working environment and our neighbours do not want to be disturbed by singing, music, talking and shouting.
    • Keep noise to a minimum, particularly during office hours. If you think you might make some noise keep the windows closed. After 22:00 you should also keep noise to a minimum also (by law).
    • Please clean the Gilwell Centre and empty the bins when you leave. Ideally leave it in a better state than you found it. Empty the fridge!
    • Do not LOCK the front door. The door just needs to be closed. Always keep your keys with you so you don’t get locked out.
    • Do not enter the SERVER room on the ground floor. It is alarmed!
    • Please turn off all hotplates for cooking after use.
    • Please recycle as much as you can using the bins provided.
